Give the agent a narrow job
An AI agent is easier to trust when its objective is specific: answer approved questions, collect qualification data, schedule a meeting or route the conversation. Avoid asking one agent to handle every customer situation.
Define what the agent must never improvise
Pricing exceptions, legal commitments, sensitive complaints and policy decisions often need human judgment. Establish boundaries in the knowledge and conversation instructions before launch.
Use CRM context intelligently
The agent should know what is useful for the conversation without exposing unnecessary internal data. Lead source, service interest, appointment status and known contact details can reduce repetitive questions.
Create explicit escalation triggers
Escalate when the lead asks for a person, expresses frustration, reaches a high-intent threshold or moves outside the approved knowledge. The handoff should create ownership and notify the correct team member.
Store the outcome
Conversation results should update the CRM: qualification fields, notes, stage, owner, booked time and next action. AI becomes operationally valuable when the rest of the team can see what happened.
