Choose a primary purpose for each channel
SMS may be useful for concise reminders, email for longer context and WhatsApp for businesses where customers already use it for direct conversation. The right mix depends on audience behavior and consent.
Let CRM events control the sequence
Do not send every message just because a timer expired. A reply, booking, cancellation, payment or stage change should adjust the workflow.
Avoid channel duplication
If a customer has already confirmed an appointment in one channel, the system should not keep pushing the same request elsewhere. Shared CRM state makes that coordination possible.
Respect consent and preferences
Store opt-in status and channel preferences in fields the workflow can actually use. Suppression rules should be part of the architecture, not an afterthought.
Measure the operational result
Track response, booking, no-show and handoff outcomes rather than focusing only on send volume. Messaging automation is useful when it improves the customer journey and reduces manual chasing.
